What is an excursion attendance checkpoint?
An attendance checkpoint is a defined moment during an excursion when staff confirm which students are present. Rather than a single count for the whole day, most excursions benefit from several checkpoints spaced across key transitions — departure, transport, arrival, movement within the venue, and the return journey.
Before departure
A check before leaving school confirms the final group is present and matches the approved list, capturing any last-minute absences before the excursion begins.
Boarding transport
Checking students as they board a bus or vehicle confirms the departing group size and records which staff member travelled with which group — useful if multiple vehicles are used.
Leaving transport
A matching check when students disembark helps confirm the same group that boarded has also arrived, before students move further into a venue or activity area.
Arriving at the venue
Once inside the venue, a further check — sometimes combined with the "leaving transport" checkpoint — confirms the group before students disperse into smaller activities or groups.
Moving between groups or activity areas
Larger excursions often split students into smaller groups for different activities. A checkpoint at each handover — as students move between groups, rooms, or activity stations — helps maintain an accurate picture of who is supervised where.
Before departing the venue
A full check before leaving the venue confirms every student is present and accounted for ahead of the return journey, and gives staff a chance to address any discrepancies while still on site.
Boarding return transport
As with the outbound journey, checking students as they board return transport confirms the group departing the venue matches the group expected to return to school.
Returning to school
A final checkpoint on arrival back at school closes out the excursion attendance record, confirming the returning group matches expectations after accounting for any approved early pickups.
Managing early pickups
When a student is collected early by a parent or guardian, it helps to record the collection time, the collecting adult, and the staff member who verified the handover.
